Job Summary

The Facility & Engineering Planner/Scheduler’s job purpose is to assess approaching tasks generated from the PM/Calibration database, interface with department members and efficiently integrate new requests with cycle driven work while maintaining high quality service and quality compliance.  Planners will verify availability of necessary resources, work with department members to access field devices and systems to accurately plan the work and if needed, procure parts.  Additionally, Planners will coordinate schedules of external service providers and internal customers to make ensure site development activities are not impacted by the necessary service or repair.  The Planner will maintain equipment files for the site’s equipment. The Planner will also monitor service contract agreements and schedule renewals of same to ensure no lapse in agreement coverage.

 

Primary Responsibilities:

  • Serves as the principal contact and liaison between F&E and Syngene’s departments to ensure applicable laboratory and base building operations areas receive prompt, efficient and quality service
  • Assumes the role of administrator and subject matter expert for the site’s Computerized Maintenance Management System
  • Responsible for accuracy of all database records, maintenance tasks and schedules
  • Will monitor site’s Corrective Work Order system and distribute to appropriate F&E staff 
  • Ensure open Work Orders are tracked and closed in an efficient manner
  • Reviews and screens each work order for scope of work, assesses the priority and requested completion date for realistic goals and prioritization
  • Discusses the details of requested work with originating department as needed
  • Performs field assessments of work notifications to accurately assess and plans the work order
  • Plans and schedules preventive maintenance/calibration work in coordination with Syngene’s managers and supervisors
  • Obtain supplies, parts and materials required to perform the work requested per SAP purchase requisitions
  • Ensures that safety concerns are given a top priority in work plan
  • Evaluates current GXP practices and impact to systems when planning and scheduling repairs, and openly communicates impact with department management and ensures consensus for required work
  • Develops a file of standard work orders (plans) for regularly recurring repair jobs, based on historical experience, to simplify the planning process
  • Maintains a professional, courteous, respectful relationship with customers and maintains a positive feedback/customer satisfaction rating
  • Seeks ways to increase operational efficiency and the conservation of site and external resources
  • Should have the ability to perform the following functions:
    • Root Cause Analysis: Initiate, investigate root cause analysis, assess impact, and implement durable corrective and preventive actions to prevent future deviating events with the same or similar root cause(s)
    • CAPA System: Utilize site’s Quality System to identify and implement continuous improvement corrective and preventive actions for system level improvements
    • Procedure Revisions: Create new procedures and review/revise existing procedures including Preventive Maintenance, Calibration, and biennial reviews of existing procedures
    • CAPEX (capital expenditures): Must be able to identify best source and provide quotations for planned purchases. Will ensure equipment and systems are compared to existing systems such that support activities, PM’s, routine service and calibration, can be sourced from existing services
    • Will aid is ensuring necessary new equipment documentation is completed and new equipment files are created for new purchases

 

Education & Qualifications:

 

  • HS Diploma/GED
  • 4-6 years of related experience
  • Mechanical/electrical background preferred
  • Good administrative and mathematical skills with willingness to handle paperwork
  • Prior experience with PM/Calibration software systems
  • Prior experience with SAP preferred
  • Proficiency in Microsoft Project, Word, and Excel
  • Excellent organization and communication skills
  • Strong project management skills essential
  • Must have the ability to multi-task and coordinate workload by priority
  • Able to walk stairs and enter tight working spaces to fully assess planning requirements
  • Must be customer service and quality oriented
  • Experience with software-based scheduling software
  • Prior GXP experience is strongly preferred

 

Additional requirements for this role:

Candidate should have hands-on experience of Typing/keyboard, visual acuity, good eye/hand coordination, stand, walk, sit, twist/turn, climb, reach outward, reach above shoulder, hand dexterity, bend, squat/kneel, sense of feel, sense of hearing, sense of smell, lift/carry 50 lbs, and pull 50 lbs.  Use a phone, fax, copier, and computer. Use hand tools and operate the forklift. Organize/coordinate, analyze/interpret, calibrate precise measurements, solve problems, make decisions, supervise, plan, communicate, prepare written communications, and prepare transaction documents.  Drive automatic/standard vehicle. Work outdoors, around noise above conversation level, in hot/cold temperatures, in high humidity, where ventilation is needed, in multiple locations, with restricted access to laboratories, in contact with Select Agents, and with exposure to animals, animal areas, or equipment used in animal areas.
